How to Use monday.com Boards?

Your board is the pulse of your work.

Think of it as a virtual whiteboard where you can keep track of and manage anything, from simple everyday tasks to complex multistep projects! Not only this, but boards are fully interactive and collaborative, so you and your team can work together to get things done.

What is covered in this blog post:

  • What is a board?
  • monday.com boards, the basics
  • How to optimize your boards with monday.com integration
  • Use cases

What is a board?

Boards are built around the concept of “items”—each card represents something that needs to be done (a task, project, etc.). You can organize these items into different groups for easy reference. Each item can have many statuses assigned to it, so you can easily see what stage each task is in at any given time. And if you need more information about a particular item on your board? There’s an interactive chat feature built right into each card, so you can talk with other members of your team about anything that comes up along the way!

monday.com boards, the basics

Step 1 – Add a new board

monday.com helps you plan and manage your work and provides a platform for complete project transparency. To quickly set up a new board or import an existing board from Excel, Trello, Google Sheets, and more, simply click on the “+ Add” button on the left panel on your screen. In addition to this, there are numerous pre-prepared template boards available for you to choose from.

Step 2 – The structure of a board

Boards are the organizing elements of monday.com, and the structure is a simple one. Within a board, there are four main components that you should familiarize yourself with: Groups, Columns, Items, and Sub-items. These sections of information can be organized in a multitude of ways to suit any project management need.

Step 3 – How do you use a board template?

From setting up your boards to managing your tasks, monday.com‘s easy-to-use interface makes it simple for you to always see what’s important and manage your teams’ tasks. You can set up your boards by clicking on the “Ad” icon in the top left portion of this window. From there, click on “New board” and select from a variety of board options or start from scratch!

Step 4 – How do you sort your board?

Are you ready to take your boards to a whole new level?
monday.com  added the ability to sort your boards! You can now customize the order in which you’d like to see your items, and to drill down on the specific ones that you are looking to see!

To sort the items on your board, click the “Sort” icon at the top of your board, and then “+Add new sort”. You can then choose the exact parameters that you’d like to sort your board by!

Step 5 – What about filtering your board?

When you’re exploring your boards, there’s a lot of data to look at. Fortunately, we’ve got a few easy ways for you to filter the information on your board to make it easier to see what you’re looking for! To filter your board, click on the “Filter” button at the top of your board and choose the exact parameters of data that you’d like to display!

Step 6 – The board description

The description is a great place to explain the purpose of your board. You can mention what problem it’s solving for you, and how you hope it will be used. You may find the need to add a description to your board to help the team understand its main uses of it. Also, you can provide any instructions, or for any other reason! To locate your board description, click on the small “i” icon to the right of your board name as so:

Step 7 – Can you print your board?

Are you a paper lover? If so, you can easily print any board by clicking on the three-dot menu located at the top right of the screen. Choose “More actions” and then “Print board” as below:

The print preview will show you exactly how your board will look when printed. The print settings are a bit different for each operating system, but the important thing to look for is the ability to change the board’s orientation and size. For example, you might see:

Before printing out your board, though, consider customizing the settings so that your print displays what you need to see. For example, since most boards are quite wide, you may want to print it in landscape mode and zoom out as well so that all of your columns can fit on one printed page.

To do so, simply adjust the print settings so that it displays “Landscape” as the layout and customize the scale of the print accordingly so that it can show all the columns on one printed paper.

Once you’ve chosen your desired settings, click “Print” to see your board on paper. You can also use these same instructions to print any board view as well.

How to optimize your boards with monday.com integration

The sky’s the limit with monday.com integrations. Turn your monday.com account into a hub for all your work, so you can stay on track even when you’re working on different tools.

Use predefined flows, so you can connect to external platforms like Google Drive, Todoist, Slack, and more. Once you’ve created or updated something in one platform, it will be automatically visible in all others.

In order to add an Integration, you have to go to the board you want to create an Integration for and click on the integration icon located on the upper left of your screen as shown below:

Upon this, you will be redirected to monday.com Integration’s center, and you will be able to find a list of the platforms you can connect to your workspace.

Use cases

#1 Remote working environment

monday.com is a platform that allows organizations to manage all the workflows in a remote environment. The data in a centralized place connects the distributed teams on one page for easy collaboration and does not affect productivity in any way.

In a remote world, monday.com helps you stay connected with your team. It provides an overview of what’s happening in real time, with analytics to make informed decisions, and turn ideas into actionable tasks.

Manage your projects from anywhere and keep your team on track with task management software. With monday.com, you can create a project workflow that fits your needs and make sure everyone stays up-to-date on the latest progress.

Create custom columns to add more details about your tasks or to track specific information for each task (e.g., priority levels, and file uploads). You can also create dependencies between tasks to make sure everything gets done in the right order at the right time!

They offer various types of boards that help you track everything from simple tasks to complex projects in a centralized place. A few examples of the different types of boards are:

#2 HR Operations

monday.com boards are an amazing way to keep tabs on all of your company’s HR processes, from recruitment to attendance management. It’s easy to set up and use, and it’s fully customizable—so you can create the experience that works best for your team.

With monday.com boards, you can:

  • Set up a board for each department or area of responsibility
  • Create a process map for each board to show how each process is linked together
  • Assign tasks to individuals or teams
  • Receive instant push notifications when a task is assigned or completed

#3 Project management

monday.com boards are the perfect way to monitor all of your different projects at once. While there’s nothing wrong with a good old-fashioned spreadsheet, having one giant document that tries to contain all of your projects can get messy fast.

You can manage multiple projects on one platform! That means you can get an instant overview of the work pace on each project, but also get a 360-degree view of all your projects and their progress. And the best part is, you don’t have to go hunting for spreadsheets or documents when trying to find out how things are going with a particular project—it’s all right there in the same place!

Get started today, and say goodbye to messy spreadsheets for good!

Conclusion

You can’t do it alone. Sure, you might be able to do a lot on your own, but when it comes down to it, you need a team. Your board is the place where your workflows come to life! Think of this feature as a virtual whiteboard where you can keep track of and manage anything, from simple everyday tasks to complex multistep projects! Not only this, but boards are fully interactive and collaborative, so you and your team can work together to get things done.

We are looking forward to seeing you make the most out of monday.com boards!

Marketing

Marketing and PR are two of the most important things that a company must get right to grow and develop, so it’s only fair to plan projects in the right and effective way.

monday.com’s work os will be with you every step of the way, from planning campaigns to executing them while managing your marketing assets and tracking the time spent on tasks. Just like Sales and Creative, monday.com provides different templates and time tracking for tasks and a professional timeline view to keep harmony and meet deadlines at the end of the day.

The world has moved to remote and online. If you want your business to survive—or even thrive—in this new landscape, you’ll need a way to organise your leads, relationships, and tasks in a way that works for your team. You’ll want a platform that helps you manage all of these things, so you can get more done and close more deals than ever before—and monday.com is here to help.

HR

Take a step back and get organised.

IT and Developers

Do you feel the pressure of expectations to deliver quickly, impeccably, and efficiently? In addition, do you have to be skilled in other subject areas, like software development, marketing and UX, combining this knowledge into a polished customer experience? Otherwise, you risk losing deals to the competition.

If this description resonates with you, it’s time for a Work OS. A Work OS consolidates company knowledge, keeping it up-to-date and making it accessible and usable to all employees. It facilitates business agility (allowing employees to make quick decisions), digital transformation (whole departments can get on board with new ways of doing things), and a culture of collaboration (all employees can contribute their ideas).

In the planning stage of a project, you make decisions about three critical questions that help ensure that your project will be successful. First, you’ll set a target for when the project will be complete. Then, you’ll assess your capacity to make this happen—both in terms of time and resources. Finally, you will identify and assign key milestones in your project timeline.

By getting clear and intentional about project timing and having a project management tool, you can help ensure that all team members move towards the same goal. This will also save you a lot of confusion ahead when you encounter roadblocks.

How to use monday.com for project management

The need to manage projects is universal. From community organizations to small businesses and multinational corporations, every organization has projects that require careful management. The only question is: what’s the best way to do it?

For very simple, small-scale projects, spreadsheets, emails, and whiteboards can be sufficient. However, as soon as your needs grow beyond that scope—as they often do—you start to need more robust project management solutions.

monday.com was designed from the ground up with this in mind. It gives you all the functionality you require, from platform-specific templates, boards, and workflow automation to collaboration tool integrations.

Planning – failing to prepare means preparing to fail

monday.com Project Management Plan

We’ve all been there before – you are mid-way through a project and realize that it isn’t going to be done on time. This often happens because crucial details weren’t addressed at the outset of the project, like setting clear expectations about what needs to be done and by when. With monday.com Project Management, you can plan your project timeline from beginning to end, so your team will have a clear road map along the way.

Executing

monday.com Construction Project Management

Getting into the details of your project plan means you’ll be able to follow up on what you’ve agreed on with your stakeholders and make sure the team delivers. If there are requests for changes or corrections that need to be made to a project, you will be able to recommend those to the team, so they can update their work. You might find yourself using the app or website during this phase to help manage workflows and track deliverables.

Monitoring

monday.com board Project Management

monday.com makes communicating and tracking agile project progress easy by providing the necessary visual tools, including real-time kanban boards. This means that no project manager has to overwork themselves looking after multiple spreadsheets, task managers or email notifications to stay on top of the project’s progress. One platform does it all.

Closing

mondaymonday.com example project overview

You’re now at the end of the project management waterfall process and ready to wrap it up! That said, there are still some important steps you need to follow through on, even if the actual work is done.

This may include wrapping up tasks, testing to make sure everything works as intended, and signing off on the final product. It’s also important for project teams to revisit what worked (and what didn’t work) so that the entire organization can learn from this experience and use it for future projects.

Use cases – Why do you need monday.com?

monday.com use case example

The business world is changing, and so are the needs of project managers. To help keep up, monday.com is a browser-based tool for creating projects, managing tasks, and communications, visualizing workflows and progress, and providing data insights to help you improve. It’s incredibly flexible and customizable, meaning you can use it to manage a wide range of different processes across many business verticals and industries.

#1 Collaboration

What good is a meeting without a whiteboard?
Whiteboards are an effective method of recording and sharing information. At the same time, they’re also one of the most temporary ways to do so. You can’t exactly take a whiteboard with you when you leave the meeting room, and they’re not very easy to share with others who weren’t there.

monday.com‘s project management app, built as a SaaS platform and web application, has several features that center around collaboration and communication. You can collaborate via boards where users can collaborate with each other via various means. It integrates with Jira, Github, Evernote, Google Docs, and Dropbox to make sharing information easier.

monday.com helps you manage both freelancers and employees in an interactive manner by giving you real-time updates, posts and activity feeds.

#2 Marketing & PR

#3 Business Development

We know that sales are not easy. It takes a lot of time and effort to close the deal. And it’s not only you who struggle with this challenge: the number of businesses that implement sales processes has increased quickly in recent years.

It doesn’t have to be so hard, however: now you can use monday.com to help you close more deals than ever before. With a tool like this, you will be able to organize your leads and team in a more efficient way and improve performance.

monday.com as a CRM, an Essential in 2023

Why should you use monday.com as your CRM system?
CRM is a term that refers to everything involved in the process of managing your customers and clients. It includes making sure your customers are happy with your product, supporting them when they need it, and so forth.

You might be wondering: Why do I need a CRM system? Wouldn’t it be better to just manage everything on a spreadsheet or through my email?

Well, yes, and no.

While the basic features of a CRM system are enough to help you manage leads and communicate with clients, the best CRM systems will go above and beyond, helping you build better relationships with your customers and improve your sales performance as a result.

What is covered in this blog post:

  • monday.com as a CRM
  • 5 benefits of using monday.com as a CRM
  • How to use monday.com as a CRM?
  • Use Cases

monday.com as a CRM

Managing your client base through a spreadsheet or email inbox can certainly work—in the short term. But it’s not going to be sustainable as you add more clients, and it’s not going to help you grow your business. That’s where CRM software comes in.

Why would you organize a project any other way? monday.com is the premier project management software, and we’re here to give you all the details on why that is.

5 Benefits of using monday.com as a CRM

It helps you to organize your workflows and simplify activities like tracking time spent on certain tasks or managing employee performance reviews (which often get lost in email). Your team will love how convenient it is: they won’t have to search through past conversations looking for information about their responsibilities because everything will be nicely organized in one place!

#1 Efficient Set-Up System – Spend less time setting up your schedule and more  time on your business

A CRM is only as useful as it is fast and intuitive. Transitioning from one platform to another or from analog CRM to digital shouldn’t take days. Your CRM should have the features to have you fully set up in a few hours.

monday.com does this by providing a customizable CRM template with a few predefined groups and columns. The platform allows users to customize their templates, so they can get everything set up exactly the way they want in minutes—not hours, days, or weeks.

Arranging your workspace just how you want it is the best part of using monday.com. Start by creating a group for your leads. Once you’ve done that, you can change the groups and columns however you please. Plus, there are 30+ different types of columns for you to pick from.

Once you start adding information to your leads with the different columns, you’ll see how neatly they’re displayed on your board. For example, if you’ve added a flag column to indicate the nationality of a lead, a status column that has 3-4 predefined options (‘Lead,’  ‘Negotiation,’ ‘Closed’), .a phone number column where lead phone numbers can be stored, and more—you’ll see all this information for each lead without having to click any links or expand anything on the screen. The information is all right there in front of you!

Other information you can add to each lead includes client notes, estimated deal value,  related files, and planned due dates for follow-ups or next steps.

#2 Great collaboration starts with great communication.

You’ve probably heard that your sales team members are collaborating using Slack, Gmail, a  sales management app, and a bunch of other tools. Well, having all these tools is great, but if they’re not centralized…

Maybe you were like us. We have all the tools we need to get our jobs done — but we end up spending so much time bouncing between them. We waste time trying to find information or keep track of things that get lost in translation.

monday.com is actually something easy to use, simple to integrate with the systems we already use, and with the flexibility to adapt to our ever-changing needs.

With monday.com, you can centralize your communication and data on a platform that integrates with all the tools you already use — from Google Workspace to Zapier and more  — so you can get back to doing what you do best: selling!

 #3 Centralized Management

Tired of juggling your CRM (customer relationship management) system, email, and Google  Drive documents all day long? monday.com CRM can help you centralize all your customer data in one place.

If you’re still managing your contacts through a spreadsheet, it’s time to consider an online CRM.

The main advantage of an online CRM is that all the information your team needs is in one place. There’s no need to sift through emails or flip through your notebooks and file drives. monday.com contacts template, for example, shows all your contacts and their information in a single window. It’s also extremely easy to edit.

When all your leads, contacts, and relevant data are stored on a centralized platform, your teams have an easier time catering to customers. Conversely, a scattered CRM is likely to frustrate them more.

 #4 Automation

Visualize your project and sales data in real time.

If your sales team is like most, you need all the data you can get on completed deals and  those still in the pipeline. The more data you have on forecasted values, actual sales, and other valuable performance metrics, the more you can improve.

Rather than manually compiling all this data in monday.com, why not just add a dashboard that visualizes it all? You’ll be able to see your progress briefly and even identify any potential issues right away.

#5 Analytics

The sales department is one of the most challenging and stressful departments in your company. You must close as many deals as possible to reach your monthly or annual goals,  but you also need to ensure that every deal is worth it for your organization.

A sales team needs data on its completed deals as well as those that are still in the pipeline.  The more data you have on forecasted values, actual sales, and other valuable performance metrics, the more you can improve.

An online CRM must enable your team leads and managers to get analytics instantly. Rather than manually compiling data in monday.com, you can simply add a dashboard that visualizes all project or sales team data in real time.

How to use monday.com as a CRM?

monday.com is so easy to use, anyone can tackle their projects with ease. The interface is clean and organized, with a focus on collaborative functions. It allows for an intuitive layout,  so your team doesn’t get bogged down in the technicalities of making a project work.

Contacts & Data management

If you’re a business owner, you know the struggle: your contact list is out of control. There are leads, clients, vendors—everyone is cluttering up your inbox and you’re not sure how to get it under control.

That’s where contact management databases come in. These handy tools act as a central repository for all of your contacts so that any employee in any department can quickly access the information they need at any time. You’ll finally be able to take back control of your email, and you’ll start to see more engagement with customers across all departments too.

Sales Pipeline
